How much does customer support really cost a small online store?
5 min readThe Voiyada Team
If you run a small online store, customer support is probably something you do between other jobs — until the day it stops fitting. Then the question becomes what to do about it, and it usually gets asked as a price: what does support cost?
The honest answer is that it depends which of four things you do, and the four are not quoted in the same units. One costs your time, one costs a salary, one costs a subscription, and one costs a flat fee for the answering itself. Comparing them means converting them into the same thing first, which is most of the work.
- Doing it yourself
- your hours, at whatever an hour of your time is worth
- Hiring someone
- a salary, plus payroll costs, benefits, tools and ramp-up
- A helpdesk tool
- a monthly subscription, usually banded by ticket volume
- AI + human support
- a flat monthly fee for the answering itself
Here is what each one actually involves, and how to work out your own number for it. The prices quoted below were checked in October 2026 and can change — check the vendor’s own pricing page before you budget against anything here.
1. Doing it yourself
The lowest-cost option on paper, and the easiest to underestimate, because nobody sends you an invoice for it. The cost is your hours. To price them, decide what an hour of your time is worth — not what you pay yourself, but what you would otherwise have done with it. If an hour on photography, supplier calls or ads is worth more to the business than an hour spent answering “where is my order”, that gap is the real cost.
Your own figure: count the hours you spent on customer messages last week and multiply by that number. Use a week you remember accurately rather than an average one, because the weeks that hurt are the ones that decide whether this is sustainable.
There is a second cost, harder to price and worth naming anyway: when you are busy, replies get slower, and slow replies cost sales you never hear about. Do not invent a number for it — just know which way it points.
2. Hiring a support person
The option most owners jump to, and the one most often quoted wrong — because the figure quoted is the salary, and the salary is the largest line rather than the only one. On top of it sit employer payroll taxes and contributions, benefits, a laptop and software seats, and, in the first year only, the cost of finding the person plus the hours your team spends training them.
Then there is ramp-up. You pay in full from day one but get full output later, so the first year buys fewer productive hours than it pays for. That is why the useful figure for a hire is not the monthly salary but the first-year total, and the cost per hour of work you actually get out of it.
None of these have one right value: they depend on your country, your state and the role. So rather than quote a multiplier, we built a calculator that asks for your own figures and shows every step of the arithmetic — what does one hire really cost? Enter the pay you would actually offer and it gives you the true monthly cost, the first-year cost and the cost per productive hour.
Worth being clear about what a hire buys that nothing else does: judgement, and someone who learns your customers. If the work needs that, the rest of this comparison is about how much of the routine volume you can keep off their desk — not about replacing them.
Already decided to hire, and only need to know where to look? We went through the job boards, marketplaces and agencies separately — including who ends up doing the vetting and the training in each case.
3. A helpdesk tool
A helpdesk pulls your email, chat and social messages into one queue and gives whoever answers them templates, history and customer context. Gorgias is the one most small stores look at, and its pricing has a wrinkle worth understanding before you compare it to anything: the helpdesk and the AI Agent are separate paid products. The AI Agent is an add-on, not part of the helpdesk price, so the figure you actually pay with AI switched on is the two added together.
| Tier | Helpdesk | AI Agent | Total / month |
|---|---|---|---|
| Starter | $10 | $30 | $40 |
| Basic | $60 | $30 | $90 |
| Pro | $360 — 2,000 tickets | $190 — 190 interactions | $550 |
| Advanced | $900 — 5,000 tickets | $530 — 530 interactions | $1,430 |
Gorgias list prices on monthly billing, as of October 2026. Prices change — check their pricing page before you budget against these.
The thing to be clear about is what a subscription does and does not replace. A helpdesk makes answering faster and better organised; by itself it does not answer anything. Beyond what the AI Agent handles, the person answering is still you or someone you employ. For most stores that makes a helpdesk a cost on top of option 1 or option 2 rather than instead of them — which is fine, as long as the comparison is drawn that way.
Your own figure: find the tier whose ticket allowance covers your monthly volume, add the AI Agent tier you would actually switch on, and then add the labour to work whatever the AI does not close — because that is the part no subscription covers.
4. AI plus human support
The fourth option is to pay for the answering itself rather than for a tool to answer with. This is what we sell, so take the following as a statement of what it is rather than as advice.
Voiyada Starter is $100/month and covers 2,000+ tickets. It is AI-only: the AI answers customers around the clock, and anything it cannot handle confidently is routed to the owner’s inbox rather than guessed at. You still handle the complex ones. You stop handling the repetitive ones.
Growth is a dedicated VA + 24/7 AI support, from $1,400+/month. A trained human agent takes the complex tickets instead of you, with the AI still answering everything routine. It typically costs less than a full-time US hire. Hours and rates are explained on the call.
Side by side with the previous option, and with the AI Agent switched on: Gorgias Pro is $550/month for 2,000 tickets; Voiyada Starter is $100/month for 2,000+ tickets, AI-only, with complex tickets going to the owner. These are not the same product — Gorgias is a full helpdesk with considerably more features and integrations, and if your team lives in a ticket queue all day that is worth paying for.
Further up the range the comparison changes shape. With the AI Agent on, Gorgias Advanced is about $1,430/month and is software only, so you still need people to answer the tickets the AI can’t. Voiyada Growth starts at $1,400/month and includes the AI plus a dedicated human VA.
Making the comparison fair
Three things keep this honest. First, count labour and software separately: a subscription and a salary are not alternatives to each other, and a tool that organises the work still needs someone to do it. Second, use your real ticket volume rather than a round number, because every option except your own time is banded or metered somewhere, and the bands are where the surprises live.
Third, compare first-year totals, not monthly ones. Hiring front- loads recruiting, training and ramp-up into year one; software and flat-fee options mostly do not. Comparing a monthly salary against a monthly subscription hides the whole difference between them.
There is no universally right answer here, and anyone who tells you otherwise is quoting their own product. What there is, is your own arithmetic — and it is worth doing before the week that forces the decision for you.
