Need a customer support VA? Skip the hiring and let us run it for you

What if you never had to post a job ad, read an application or run an interview — and still had someone answering your customers?
Most store owners do not realise that is on the table. The default route to a support VA quietly turns you into a recruiter: you find them, you vet them, you train them on your store, then you manage them for as long as they stay. The platforms help with step one. Steps two, three and four are yours, forever.
There is another way to do this, and it is the one we run. We source the VA. We train them on the policies, FAQs and materials you give us. We manage them day to day. And we put 24/7 AI on top, so the routine questions are answered while everybody sleeps. Nobody on your side has to find, train or manage anyone.
That said, see the whole board before you pick. Here is every real route to a support VA, what each leaves on your desk, and the numbers that are documented.
Option 1: job boards — you post, you pick, you own it
OnlineJobs.ph is where most store owners land first, and for good reason: it is built around exactly the kind of hire you are making. Workers join at no charge, and employers pay a subscription for the ability to contact them — check their current pricing, since it changes.
Now be clear what that subscription buys. It buys access— and that is exactly where the platform’s job ends and yours begins. Everything after it, from reading the applications to managing the person months later, is on you.
Good for: a direct relationship with no middleman on the ongoing rate. The catch: every hour of sourcing, vetting, training and managing is an hour of yours.
Option 2: freelance marketplaces — bigger pool, fees on the money
Upwork and the platforms like it put a much larger pool in front of you, with profiles, work history and ratings attached. You can browse and post without paying to look — the fees land on the payments that move through the platform, in the form of marketplace and payment fees. Published sources disagree on the exact percentages, so we will not quote one — check the platform’s current rates before you budget.
What a marketplace genuinely solves is discovery and payment plumbing. What it does not solve is everything after “hired”. The Monday morning “why did we tell this customer that” conversation is very much still yours.
Good for: choice, and seeing someone’s track record before you commit. The catch: you are still the recruiter, the trainer and the manager — now with fees on top.
Option 3: a VA agency — someone else does the finding
An agency hands you a shortlist, or a placed VA, and takes the sourcing off your plate. For a lot of owners that is the right trade.
Pin down where their job stops before you sign. Agencies differ enormously: some place a VA and step back, others stay involved in training and management. Ask directly — who trains them on my policies, who manages them, what happens the week they are off? That answer is the whole difference between “sourcing handled” and “support handled”.
Option 4: a managed service — the whole operation
This is the one we run, so read it with that in mind. The difference from the three routes above is not the person — it is that the operation around the person stops being your problem. Sourcing, training, management: handled. Cover for the days they are off: handled. The three-in-the-morning questions nobody is awake for: handled by the AI, which does not take holidays.
What you hand over is your policies, your FAQs and your materials. What you do not hand over is your Tuesday.
So what does a support VA actually cost?
Straight answer: nobody can tell you. Rates move by country, by experience, by scope and by what you negotiate, and platforms change their pricing. Check the current numbers yourself rather than trusting a figure in a blog post — including this one.
What we can be specific about is the part that never shows up on a pricing page: the work.
- Sourcing. Writing the post, deciding what good looks like, reading everyone who applies.
- Vetting. Interviews, a written test against a real complaint, and the judgement call at the end of it.
- Training. Your policies, your tone, your edge cases — then checking their replies until you stop needing to.
- Management. Ongoing, forever: reply times, the “why did we tell this customer that” conversation, payments every month.
- Nights, weekends and cover. One person works one shift. Sick days and holidays land on somebody, and with a direct hire that is you.
None of that is a fee. It is worse — it is your calendar, and it does not stop after month one. That is why a price comparison alone always flatters the direct hire.
Voiyada Growth is a dedicated VA plus 24/7 AI support, from $1,400+/month, and every line on that list is ours rather than yours: we source the VA, train them on the policies, FAQs and materials you provide, manage them, and run the AI covering the hours nobody is working. Hours and rates are explained on the call.
Want the direct-hire side costed in your own numbers? That is what our true cost of hiring calculator is for.
The three routes, side by side
| Job board | Freelance marketplace | Voiyada Growth | |
|---|---|---|---|
| Who finds the VA | You do | You do | We do |
| Who trains them | You do | You do | We do, on the policies, FAQs and materials you provide |
| Who manages them | You do | You do | We do |
| Who covers nights and weekends | You do | You do | The 24/7 AI, alongside the dedicated VA |
| What it takes to find and hire | Your time, plus a platform subscription for access to candidates | Your time, plus the platform's fees on payments made through it | No job-board subscription and no recruiting fee — we do the sourcing |
| What you pay each month | The VA's pay, on whatever you agree with them | The VA's pay, plus the platform's fees | One monthly price covering the VA and the AI, from $1,400+/month — hours and rates explained on the call |
The honest bit
Hire directly and your sticker price can land below Growth. That is true, and we are not going to pretend otherwise. Growth is a paid service, not a favour.
The question is not which number is smaller. It is which column in that table you want to be standing in.
What to look for in a support VA
- Written English your customers would accept
- Not interview English. Ask for a written reply to a real complaint you have had, and read it as if you were the angry customer.
- A reply speed you can hold them to
- Agree the target before they start, not the first time somebody waits a day.
- Actual knowledge of your policies
- Returns, exchanges, shipping, damaged goods. A VA who guesses at your refund policy will cost you more than the hour they saved.
- Backup when they are off
- One person is one person. Sick days, holidays and emergencies all happen — decide now who covers them.
- Timezone coverage that matches your customers
- Not your timezone. Theirs. Work out when your messages actually arrive before you agree a schedule.
Where we fit
Voiyada Starter is $100/month and covers 2,000+ tickets. AI-only: it answers your customers around the clock, and anything complex is routed to the owner’s inbox rather than guessed at.
Voiyada Growth is a dedicated VA plus 24/7 AI support, from $1,400+/month. We source the VA, train them on the store’s policies, FAQs and materials the client provides, and manage them day to day. Hours and rates are explained on the call.
Still weighing this against putting someone on your own payroll? We worked through all four ways to cover support — doing it yourself, hiring, a helpdesk tool, and AI plus a human — with the arithmetic shown.
Frequently asked questions
How much does a customer support virtual assistant cost?
It depends where you hire, what you are asking for and what you negotiate — check current rates on the platform you are using rather than trusting an article. The part worth planning for is the work around the pay: with a job board or marketplace, the sourcing, vetting, training, day-to-day management and weekend cover are all yours. That is the cost people underestimate, because nobody invoices you for it.
Is OnlineJobs.ph worth it?
It depends whether you want to be the recruiter. Workers join at no charge and employers pay a subscription to contact them — check their current pricing, since it changes. That buys access to candidates, not a hire: you still write the post, run the interviews, check the written English, train them and manage them day to day. If you have time for that, it is a direct route. If not, the subscription is the smallest part of what the hire takes out of your week.
Should I hire a VA or use an AI chatbot?
It is not really either/or. AI is good at the repetitive volume that arrives at three in the morning — order status, shipping times, the same five questions. A person is better at judgement, apologies and anything needing a decision. Voiyada Starter is $100/month and AI-only, with complex tickets routed to the owner's inbox. Growth pairs a dedicated VA with 24/7 AI, so each kind of ticket goes to whichever suits it.
Can a VA handle support at night?
Not on their own. One person works one shift, so genuine overnight coverage means hiring more people for the other shifts, putting AI on the hours nobody is working, or accepting that customers who write at night wait until morning. Decide which of the three before you hire — it changes how many people you need.
